Foreign and Commonwealth Office FCO to Close Counter Service

From 1 April 2011, the Foreign and Commonwealth Office (FCO) will only be accepting documents for legalisation by post. The FCO, the only body able to legalise documents in the UK, will be closing its public and business counters at its Milton Keynes office in order to offer a faster 24-hour service for documents received via post. The single service for individuals and general business customers replaces both the standard two day service and the 90-minute counter service. However, the 24-hour service only applies to ‘straightforward' postal applications which include the correct documents in the correct format, a fully completed application form and correct payment. If any one of these criteria is not met, then the process will take longer. Customers will be informed of any delays by email.The current fee per signature is £28.80 [March 2011] and customers should add an additional £6 for return of the legalised documents by Special Delivery. The premium business service for pre-registered, regular users at a higher rate of £71.00 per signature, will not be replaced. Legalisation is official confirmation that a signature, seal or stamp on a UK public document is genuine. If you intend to use an official UK document abroad, you will usually need it to be legalised first. The process involves the addition of a small legal document called an apostille to the reverse of the document, which can, if necessary, be translated.More information on the legalisation process is available on the FCO website.

What is an affidavit

We received a phone call earlier this month from a client who wanted to proceed with the translation of his Greek marriage certificate. Having already quoted for the translation, we were aware that a sworn translation was required for use in divorce proceedings. A sworn translation involves the translator swearing the translation and a copy of the original document with an affidavit before a solicitor or commissioner for oaths, so that the translation can be submitted for use in court. Quite simply, an affidavit is a written statement made under oath. If it is required for use in a divorce case it states the case details: the name of the petitioner (the person filing for divorce), the name of the respondent (the person responding to the petition) and the name of the county court at which the case is to be heard. It is essential that these details are correct, especially the spellings of the names of each party. In cases where a sworn translation is required, we always recommend that our clients check the details required for the affidavit carefully. In particular, we ask the client to check whether the wife petitioned for or responded to the petition in her maiden name.An affidavit relating to a translation states that a true translation has been provided and gives the translator's contact details and qualifications and it is signed by both the translator and the solicitor or commissioner for oaths. Once the affidavit and the corresponding exhibits (a copy of the original and the translation) have been signed, the translation is then acceptable for use in legal proceedings. Academic Documents

We regularly receive enquiries for the translation of academic documents to support university, job or student visa applications. In most cases our clients require a certified translation of a selection of documents including degree certificates, graduation certificates and academic transcripts. These translations are often needed urgently in order to meet university, job application or visa deadlines. In order to make the process as smooth as possible, we have answered some of the most frequently asked questions below: How much will it cost to have an official translation of my documents?A certified translation is sufficient for official purposes whether you're applying to a university, an employer or the Home Office. The certified translation comprises the translation, a copy of the original documents and a declaration stating that we have provided a true translation and the translator's qualifications. All pages are stamped, signed and embossed before being collated. Our charge is based on the number of words in the original documents so we will need to see a copy of these in order to provide you with a quote. You can send us copies of your documents by email, fax (0845 241 6656) or post. Once we have received your approval, certified translations will be issued within one working day. How will you send me the translation?First class UK postage is included in all our quotes. Should you be based outside of the UK, or if you require your certified translation more urgently, we offer international postage or Special Delivery postage options at an additional charge. We can also provide you with a PDF version of the certified translation should you so require. We can also send these directly to the organisation to which you are applying, to help speed up the process.What do I need to do?Once you have sent us copies of your documents, we will provide you with a quote. Should you wish to proceed we will require you to pay in advance. We offer a range of payment options. Once we have received your payment, we just ask that you check your emails daily. We will email you the electronic version of the translation for your approval. It is also advisable to provide a daytime telephone number in case we need to contact you, particularly if you require your translation urgently. Once we receive your approval, we will issue the certified translation and have it sent out you via your chosen delivery option.
